1. Who we are

AiWizards Business Operations Hub is owned and operated by AiWizards LLC, Lansdale, Pennsylvania, United States. In this policy, "we", "us" and "our" mean AiWizards LLC, and "the Hub" means the AiWizards Business Operations Hub application and website.

For any privacy question or request, write to aiwizards_25@yahoo.com. This is currently our single contact address for privacy, legal and support matters.

2. What this policy covers

This policy covers the public website, the public demo, the sign-in and account pages, and the signed-in workspace where you keep your business records. It explains what we collect, why, who we share it with to run the service, and the choices you have.

It does not cover other companies' websites or services you reach from the Hub, including a payment provider's own checkout pages. Those services have their own privacy policies.

3. Your information and your customers' information

There are two different relationships here, and it matters which one applies.

Information about you and your account
Your email address, your profile, your workspace settings and your subscription status. We decide how this is handled, and this policy explains it.
Information you enter about your own customers and contacts
Clients, inquiries, event customers, bookings, notes and anything you import from a spreadsheet. That information belongs to your business. You decide what to put in, what to keep and what to remove. We hold and process it on your behalf so the Hub can work, and we do not use it to build our own marketing lists or sell it.

You are responsible for having the right to enter information about other people into the Hub, and for telling those people what you do with it if the law requires you to.

4. What information the Hub holds

Account information
The email address you sign up with and the authentication records that let you sign in and reset your password. Passwords are handled by our authentication service and are stored by it in hashed form; we never see your password.
Profile information
Your first name, last name, optional phone number, and whether you have finished setting up your workspace.
Workspace and business details
Your business name, business type, phone, website, description and your workspace preferences, together with your role and membership in that workspace.
Operational records you enter
Products, vendors, stock adjustments, sales, inquiries and their messages and follow-ups, clients, projects, bookings, payments recorded against projects, tasks, milestones and deliverables, events, event costs and staff, event customers, recommendations and your decisions on them, plan steps, and the activity history the Hub writes when you make a change.
Imported files
When you import a spreadsheet, the file is read in your browser. Only the rows you confirm are saved as records in your workspace. The original file is not uploaded to us or kept.
Settings
The thresholds and preferences that decide which recommendations you see, and your assistant settings.
Subscription status and transaction metadata
Whether your workspace is active, complimentary or past due, your plan interval, the current period end, a cancellation flag, and the customer and subscription identifiers our payment provider gives us. We also keep a small ledger of payment events we have processed so the same event is never applied twice.
Assistant consent and usage counters
Whether you have agreed to live AI guidance, which version of that agreement you accepted, when you accepted or withdrew it, and a count of how many live questions were asked per person per day and per workspace per month. The counters hold numbers and dates only.
Policy acceptance records
Which versions of these Terms and this Privacy Policy you accepted, when, and whether that happened at sign-up or at a later prompt.
Technical and security information
Our hosting and database providers generate operational logs as part of running and protecting the service, which can include network address, timestamps and request details. We use these for security, troubleshooting and reliability.
Support communications
Messages you send to our contact address and our replies.

The public demo

The public demo runs on sample data for a fictional business. Nothing you type into the demo is saved to an account, and the demo never sends anything to an AI service.

5. Why we use this information

  • To create your account, sign you in and keep your session working.
  • To run the workspace: store, show, calculate and export the records you enter.
  • To separate one business's records from another's and enforce who may see what.
  • To produce the recommendations, insights and drafts the Hub shows you for review.
  • To take payment for a subscription and to know whether a workspace is active.
  • To provide the Ask AiWizards guide, and live AI guidance where you have agreed to it.
  • To keep the service secure, prevent abuse and investigate problems.
  • To answer your messages and provide support.
  • To meet our legal, accounting and record-keeping obligations.

We do not sell your information. We do not share it with advertisers, and the Hub contains no advertising and no cross-site tracking.

6. Who helps us run the service

We use a small number of service providers to operate the Hub. They may handle information only to provide their service to us.

Application hosting and platform (Lovable)
Hosts and serves the application and provides the development platform it is built on. Handles: Requests to the application, and the operational and security logs its hosting generates.
Database and authentication (Supabase, provided through the Lovable platform)
Stores your workspace records and runs sign-in, sign-up and password reset. Handles: Your account email, your profile, your workspace and every operational record you enter or import.
Payments (Stripe)
Runs the hosted checkout page and the billing portal, and processes card payments. Handles: Payment card details you enter on Stripe's own pages, your billing address, and the subscription identifiers and status we store to know whether your workspace is active.
AI service (the Lovable AI Gateway and its underlying model provider, currently Google's Gemini model family)
Generates a live answer when live guidance is switched on and you have agreed to it. Handles: The question you type, the name of the screen you are on, and a slice of our own product guide. No business records are included.
Email
Receives and answers messages sent to our contact address. Handles: Whatever you choose to include in a message to us.

We may also disclose information where the law requires it, to protect our rights or the safety of others, or in connection with a merger, acquisition or sale of assets, in which case we will make reasonable efforts to tell you.

7. Payments

Payment card details are entered on our payment provider's own hosted checkout page, not in the Hub. We do not receive, see or store your full card number, expiry date or security code.

What we do store is the subscription information we need to know whether your workspace is active: the customer and subscription identifiers, the plan interval, the status, the current period end, a grace period where one applies, and whether the subscription is set to cancel at the end of the period.

Checkout is in test mode

Checkout is running in test (pilot) mode. Selecting a plan opens a test payment page: no real card is charged, no live payment is taken, and no paid commercial service is created. Live billing will be switched on in a separate, announced update.

8. Ask AiWizards and how prompts are handled

Ask AiWizards answers most questions from a fixed guide built into the application. Those answers are produced on your device or on our own server and are not sent to an AI service.

Where live guidance is switched on for your workspace and you have separately agreed to it, a question the built-in guide cannot answer is sent to an AI service at the moment you ask it. What is transmitted is: the question you typed, the name of the screen you were on, and a short extract of our own product guide. Your business records are not read and are not sent.

What we cannot promise about the AI service

We have not independently verified how long the AI gateway or the underlying model provider keeps a request, or whether it may be used to improve their models. We therefore make no promise about retention or training on their side. Do not type passwords, payment details, health information, government identifiers or confidential customer information into the assistant.

We do not keep the text of your assistant questions or answers in the Hub's database. The conversation you see in the panel is a copy held in your browser for the current tab session only, and it disappears when you close the tab, clear the conversation or reset your agreement. That browser copy is a separate thing from the request itself: where you have agreed to live guidance, each individual question is transmitted to the AI service at the moment you ask it, together with the screen name and the product-guide extract described above. What we do store is your consent record and the numeric usage counters described above. A workspace setting for saving conversations exists in the database, it is off, and no conversation content is written today.

Full detail is in the AI Use and Limitations Notice.

9. Cookies and browser storage

We audited what this application writes to your browser. It uses only what is needed to sign you in and to keep the current screen working. There is no analytics tool, no advertising pixel, no cross-site tracking and no session replay, so there is nothing non-essential for you to switch off and we do not show a cookie consent banner.

Browser storage this application uses
WhatWhereWhyHow long
Sign-in session tokenEssentialLocal storageKeeps you signed in to your workspace and lets the Hub prove who you are when it loads your records. Set by the authentication service the Hub uses.Until you sign out or the session expires.
Ask AiWizards conversationFunctionalSession storageHolds a copy of the current assistant conversation so it survives moving between screens in the same tab. That copy stays in your browser and is not written to the Hub's database. It is separate from a live request: where live guidance is switched on and you have agreed to it, the individual question you ask, the screen name and a short extract of our product guide are transmitted to the AI service at the moment you ask, as described in the AI Notice.Cleared when you close the tab, when you select Clear conversation, or when you reset your assistant agreement.

Our payment provider's own hosted pages and our hosting provider may set their own strictly necessary cookies when you use them. Clearing this site's storage in your browser will sign you out and clear the current assistant conversation.

If we ever add a non-essential tool, we will update this section and ask for your choice before it runs.

10. Security

We use reasonable administrative, technical and organizational safeguards designed to protect information in the Hub. These include per-workspace access rules enforced in the database so one business cannot read another's records, role checks on who may change business settings, server-side validation of billing requests, signature verification on payment events, and limits on how the assistant may be used.

No system is completely secure

We cannot and do not promise that the Hub is completely secure or that information can never be accessed, disclosed, altered or destroyed. Choose a strong, unique password, keep it private, and tell us at once if you believe your account has been used without your permission.

We do not currently claim any formal security certification or audit, and we make no compliance claim under any specific privacy or security framework.

11. How long information is kept

We keep information for as long as it is needed for the purpose it was collected for: while your account and workspace are active, and afterwards where we still need it to meet a legal, accounting, security or fraud-prevention obligation, to resolve a dispute, or to enforce our agreements.

We do not operate a fixed deletion deadline, and we will not invent one here. Records you delete inside the Hub are removed from your workspace when you delete them. Copies may remain in routine backups for a limited period before those backups age out.

When you ask us to delete your account or workspace, we will verify the request and then process it, subject to the legal, security, backup, fraud-prevention and billing obligations above. We will tell you what has been done.

12. Your choices and how to make a request

  • Access: ask us what information we hold about you.
  • Correction: ask us to correct information that is wrong. You can edit most of it yourself in Settings.
  • Export: ask us for a copy of your workspace records. Several screens also let you export to CSV yourself at any time.
  • Deletion: ask us to delete your account, your workspace, or both.
  • Assistant consent: withdraw your agreement to live AI guidance at any time in Settings.

To make any of these requests, email aiwizards_25@yahoo.com from the address on your account and tell us what you would like. We will confirm we received it, verify that the request really comes from you, and reply with what we can do and when.

Deleting a workspace

Deleting a workspace may permanently remove its records, including inventory, sales, inquiries, clients, projects, bookings, events and history, once we have verified and processed the request. Export anything you want to keep first.

13. Children

The Hub is a business tool intended for business users aged 18 or older. It is not directed at children, and we do not knowingly collect information from anyone under 18. If you believe a child has given us information, write to us and we will remove it.

14. Where we operate, and state privacy rights

AiWizards LLC operates from Lansdale, Pennsylvania, United States, and information is processed in the United States by us and by our providers. If you use the Hub from outside the United States, you understand that your information will be handled here.

Depending on where you live, your state may give you specific privacy rights, such as the right to know what is collected, the right to correction, the right to a copy and the right to deletion. We handle every request we receive on the same terms described in this policy, whether or not a specific law applies to it. We do not claim compliance with any particular state or international privacy framework.

15. Changes to this policy

We may update this policy as the Hub changes. The version and effective date at the top always tell you which one you are reading. For a material change we will ask signed-in users to review and accept the new version before continuing.
